We at Pro Infirmis are delighted that you are interested in our organisation. This Privacy Policy tells you about how Pro Infirmis processes your personal data.
Protecting your privacy is very important to Pro Infirmis. That is why our processing of your personal data complies with the applicable provisions of data protection law.
Statutory duties to process data
As the umbrella organisation for regional and local organisations for people with disabilities, we work to promote inclusion. In that work, we process personal data to fulfil the legal obligations we have in connection with our service agreements with the authorities.
This Privacy Policy provides transparency about data processing on the basis of such a legal obligation. In all other cases, such as those that are not directly required by law, we process your personal data according to the principles set out below.
Reasons for processing data
We process different categories of personal data whenever you use our services, visit our website or otherwise have contact with us. We do this for the following purposes, in particular:
- To provide services for clients: We process personal data to provide the services we have been asked to provide. These include social counselling, online chats, direct financial aid, administrative support, assisted living, residential schools, the operation of daycare centres, services in connection with the Bildungsklub learning centre, respite services, the Eurokey programme (the key system for access to barrier-free facilities), voluntary services (such as via the mitenand platform), examinations of limited mobility, and labour market integration initiatives. To do this, we process data that includes your personal details, contact information, health data, data on social assistance measures and other, sensitive data. This may also include information about third parties, such as your family members.
- To provide services for third parties, and for partnerships: We process personal data relating to participating institutions, authorities and partners as part of our provision of services for third parties. This might be in connection with specialist advice on accessible construction, inclusive cultural offers, offers in simplified language, the digital capture of building accessibility, specialist dialogue or support measures, or as part of advice we provide to the authorities. This specifically includes the personal data of the contact person concerned, e.g. their name, email address or other means of communication.
- To collect donations: To collect and manage donations to Pro Infirmis we specifically process information on the type of payment, intended purpose, your personal details and your contact information (email address and phone number). In this instance data is also subject to automated processing, in particular to analyse the financial circumstances of donors.
- For newsletters: You can subscribe to newsletters through our website. Unless you agree to it being used for other purposes, the data you give when you subscribe will be used only to send out the newsletter. You can cancel your subscription at any time via the unsubscribe facility within the newsletter.
- To run our website: To ensure the security and functionality of our website, we record technical information (connection data) such as IP address, device type, operating system, browser version, the timing and nature of access, regional usage, language settings, the platform used and the pages visited on www.proinfirmis.ch, www.eurokey.ch, www.bildungsklub.ch and www.bueroleichtesprache.ch. This connection data can tell us how visitors use these websites. It is analysed for statistical purposes and to enable us to make internal improvements to security and quality. We also use cookies and related technologies. You will find further information in the corresponding section of this Privacy Policy.
- To improve our services: To continue developing our digital and analogue services, where applicable we analyse usage behaviours on our website and in online tools, interactions with our social media profiles, user feedback and comments, and public-domain statements about our services.
- For service registration and usage: It may be necessary to register for certain digital offers. In this connection we process registration data, usage data, and information on behaviours and preferences.
- For security and access controls: We have a technical and organisational framework in place to protect our systems and infrastructures. Personal data is processed within this framework.
- For job application procedures: Specific data protection regulations apply in connection with job applications. These can be found (in German) on our Careers page. If an employment relationship results from that application, further data processing is also governed by the employment contract and further agreements.
- For other purposes: Data may also be processed for further internal purposes, including: education and training, quality assurance and to secure evidence (e.g. in the form of minuted or recorded conversations, providing the person is aware in advance), risk management, organisation, to stage and follow-up on events, including participant lists, recordings and speeches, and to uphold legitimate interests in individual cases.
Sources of the personal data we process
Most of the personal data we process is provided by you, in particular through your use of our services.
In addition, we receive data from further sources, in particular:
- your family members and relatives, and other individuals who support and care for you
- medical personnel (if released from their duty of non-disclosure)
- third parties such as employers and organisations you are connected with
- people who do voluntary work for us
- fundraising and marketing companies and other trustworthy third-party suppliers
- other organisations for people with disabilities, and partner organisations
- the authorities.
Where necessary to provide our services properly, we may also consult publicly accessible sources.
Sharing of personal information
We pass on your personal data where this is necessary for us to provide our services and fulfil our obligations, or to uphold our legitimate interests. This may mean your data reaching the following categories of recipient:
- organisations for people with disabilities, and partner organisations we work with
- property managers and owners
- volunteers working on our services
- institutions that provide services for us (e.g. telephone service, Eurokey)
- service providers, such as IT companies (in areas such as hosting, cloud, communications, online chats and IT support), payment processing, bookkeeping, employee accident data management, event management, fundraising and marketing companies
- the authorities (to the extent required by law).
Recipients are subject to an undertaking to Pro Infirmis to comply with the applicable legislation and the provisions of our Privacy Policy when using your personal data.
With the exception of the recipients described here, your personal data is not shared with third parties outside our organisation. On no account is your personal data sold to third parties.
Disclosure outside Switzerland
We process personal data primarily in Switzerland and in the European Union (including the European Economic Area, EEA). However, depending on the service provider used in a given case, data may also be processed in any other country around the world, especially the USA. This relates in particular to contract processors or the technical infrastructure of IT service providers.
If the recipient is in a state that does not have a level of data protection recognised by the Federal Council as adequate, we ensure that your data is appropriately protected in that state also. We do this specifically by:
- placing the recipient under a contractual obligation to comply with data protection standards
- applying EU-standard contractual data protection clauses
- requiring evidence that the recipient is already subject to recognised data protection regulations.
Right of access, rectification and objection (rights of the data subject)
We process your personal data with the greatest of care. We have appropriate frameworks in place to ensure that it is correct and up to date, and is used only for the purposes for which it was collected.
Under applicable data protection legislation, you have a variety of rights concerning the processing of your personal data. Specifically you have the right to:
- information: you can request information on whether we process personal data about you and, if so, what data
- rectification: you have the right to have incorrect or incomplete data corrected
- erasure: you can request that your personal data be deleted, unless it must be retained to meet statutory or contractual retention obligations
- object: you have the right to object to the processing of your data
- data portability: you can request that certain personal data be issued to you in a common electronic format, or have that data transferred to a different ‘controller’ (processor)
- revoke your consent: you may revoke the consent you gave us to process your data at any time with effect for the future.
If you wish to exercise these rights, you can contact the office given below at any time. Pro Infirmis clients are asked to contact the Pro Infirmis office for their canton. We have a statutory duty reliably to verify your identity and to prevent abuses of the above rights. To do this, we reserve the right to request proof of identity (e.g. a copy of an official ID document), or to take other action to identify you.
Please note that certain rights may be restricted by law, for example:
- owing to statutory retention or processing obligations
- to protect third parties (e.g. in the case of confidentiality interests)
- to uphold our duty of non-disclosure
- or to protect our own legitimate interests.
We reserve the right in such cases partly or fully to withhold or redact information, or to provide it only in extract form.
Cookies
This website also uses cookies to track website usage. These are small files that a web portal leaves behind on your computer, tablet or smartphone when you visit it. They allow the website to 'remember' certain inputs and settings, such as your login, language, font size and other display preferences, for a certain period of time. This means that you do not need to re-enter or reset them every time you visit and navigate through the portal. We use cookies to analyse how visitors use our website. Specifically, this means storing information on whether you complete a survey, on how useful you found content (so that you no longer see a pop-up window asking you to give an answer), or on your decision on whether or not to allow the use of cookies on this portal. The information collected using cookies is not used to identify you, neither are cookies used for any purpose other than that described here. This website contains social media plugins such as the Facebook 'Like' button. Calling up the website automatically triggers the transmission of your data (IP address, date and time of visit, etc.) to the provider in question, whether or not you clicked on the button or you have an account with that social network.

Web analytics
The Google Analytics advertising analysis tool is used to conduct anonymous analyses of non-personal usage data (connection data) to identify trends and to improve our online services. This data is thus not processed by Pro Infirmis alone, but also by Google on our behalf. Google uses this information to evaluate your use of the website, to compile reports on website activity, and to provide further services relating to website and internet use. Google may also pass this information on to third parties if required by law or if such third parties process this data on behalf of Google. The IP address transmitted by your browser for Google Analytics purposes is not combined with other Google data (please refer to the Google Analytics terms and conditions given below).
This website uses the Google Tag Manager as a means of managing website tags. The service does not collect any personal data itself, but it triggers other services that, in some cases, do collect such data. If you deactivated services at domain or cookie level, all of the tracking tags that have been implemented using Google Tag Manager will also remain deactivated.

Marketing automation tool
Pro Infirmis uses marketing automation on its websites. The marketing automation tool cookie is used to track information on the websites you have visited and the links you have clicked on those websites. It is used in particular to supply information that is specially aligned with your interests. You can block these cookies (please refer also to the 'Cookies' section). Pro Infirmis would like to point out, however, that in this case you may not be able fully to use all website functions, and that it may no longer be possible to send you information because this requires you to enter personal data such as your name and email address via an online form.
Information is distributed using the Sales Force Marketing Cloud, referred to below as the 'distribution service.’ You can view the privacy policy of the distribution service here
Furthermore, the distribution service states that it is permitted to process this data under a pseudonym, i.e. without allocating it to a user, to optimise or improve its own services. This refers in particular to the technical optimisation of the distribution process and the way in which emails are displayed, or for statistical purposes to determine the email recipients’ countries of origin. However, the distribution service does not use data from our email recipients to write to them itself, neither does it pass the data on to third parties.
Emails contain what are known as web beacons, which are pixel-sized files that are called up from the distribution service's server when mails are opened from the distribution service's server. The file first collects technical information such as the details of your browser and system, as well as your IP address and the time you accessed the email. This information is used to make technical improvements to the service, using the technical data, or the target groups and their reading behaviours, according to the place of access (which can be determined using the IP address), as well as the time the content was accessed. The data collected for statistical purposes also include details of whether or not the newsletter was opened, when it was opened, and which links were clicked on. Although the technology permits this information to be matched with individual email recipients, neither we nor the distribution service make any effort to observe individual users. Rather, we use the analyses to identify our readers' reading habits and to adapt our content to them, or to supply different content in accordance with our readers' interests.
As part of our fundraising activities we send text messages containing short links. These links are created by third-party provider Okua GmbH, which is based in Dresden, Germany. The Okua GmbH privacy statement can be read here.
Processing of personal data on our social media sites and other platforms
We maintain online presences on social media and other platforms operated by third parties. This allows us to communicate with interested individuals and to provide information about our work. In this connection both we and the platform operator concerned may process personal data.
We receive personal data when, for example, you:
- comment on, share or like our content
- communicate with us, rate us or leave a comment on us directly via the platform
- participate in surveys or events
- subscribe to or follow our page.
The platforms also provide us with aggregated user statistics based on the use of our pages. These cover demographics, reach and interaction data, for example. This data is usually anonymised, but depending on platform it may be possible to link it to individual users.

We reserve the right to check content on our social media sites before or after posting, but are under no obligation to do so. We may delete content without notice or report it to the platform operator, especially in the following cases:
- illegal, insulting or misleading statements
- unwanted advertising or spam
- breaches of third-party rights
Data security and liability
Data is transmitted to Pro Infirmis via an open international network that is generally accessible. Communications between website users and Pro Infirmis are encrypted. However, it cannot be ruled out that data sent in this way may be lost, or your contact with Pro Infirmis traced. This may therefore result in your data being disclosed or its content changed. In addition, data sent via the internet may cross international borders and therefore be transmitted via countries that have data protection standards that are less strict than those in Switzerland, even if both the sender and recipient are located in Switzerland. To the extent permitted by law, Pro Infirmis accepts no liability for direct or indirect loss or damage arising from the transfer of data between users of the website and Pro Infirmis.
Pro Infirmis has nonetheless taken security precautions to protect data against unauthorised interference and to ensure the authenticity of the website, the integrity of the data, and the confidentiality of data that is transmitted via the company's own internal network.
Access to your personal data is restricted to those members of staff who need the information in question for their work. They are also obliged to keep that data confidential.
